- Demonstrated experience in commercial property management and leasing administration.
- Knowledge and skills in the use of databases, including SAP training and/or experience using financial and procurement systems, excel and word processing.
- Minimum C Class Driver's Licence (non-restricted).
Your key accountabilities
Responsibilities
Your part in the ongoing success of our department, in supporting frontline services will see you responsible for a variety of work, including, but not limited to:
- Provide administration support in the establishment of new and the renewal of existing property leasing arrangements, including the creation of purchase orders, payment of invoices and effecting of any variations required to facilitate completion.in line with the directorate needs.
- Assit with the coordination and management of the portfolio's agreements and ensure property leasing arrangements adhere to relevant legislation and whole of government poilcies and procedures to meet the identified needs and requirements on stakeholders.
- Assist in the administration of the property management and leasing portfolio to coordinate applications, approvals and critical renewal activities to ensure leasing agreements, and contracts are tracked and reporting actions completed within required timeframes.
- Monitor and manage the review of existing properties, and leased property maintenance requests, including site visits, to ensure rent assessments, outstanding arrears and/or preparation and issuing of rental invoices is actioned or resolved to support service delivery outcomes for the department.
- Use Microsoft products and other procurement, financial, administration and contract management systems to maintain accurate customer and property records, file notes and reporting with a high-level of accuracy to ensure quality service deliverables is achieved.
- Liaise and maintain effective working relationships with internal and external clients and stakeholders to ensure property and leasing services are responsive to current and future needs.
- Participate in internal and external meetings, forums and/or focus groups to ensure services, solutions and governance is maintained and positive outcomes are achieved to meet departmental objectives.
