Vestas Wind Australia are looking for an experienced Lead Site Administrator to join our tight knit and welcoming team on Rye Park Wind Farm.
As our Lead Site Administrator you will be the first point of call to guide and lead our other site administrators based around various wind farm construction sites around the country. All of your communication with the team will be via phone, email and video calls due to the remote locations and also your role completing site administrator tasks.

The important part of this position is having the ability to communicate clearly with many personality types to build a strong and cohesive team, which any of them have never met in person before. To be successful in this role you will need to bring your strong previous site administration experience to ensure that your site location runs efficiently but also to help guide the entire team and teach them your lessons learned from past positions.
As this role is based at Rye Park, you will either live locally or be required to relocate to the area working on a 3/1 roster.
Responsibilities
- Recruit, onboard, support, develop and provide guidance to members of the Site Administration team
- Grow and develop a dynamic site administration team
- Organise team training and annual Site Admin conference in Melbourne
- Chair regular Site Administration team meetings
- Monitor key accounts and ensure payments are up to date
- Approve direct report monthly timesheet and expense submissions
- Assist with priority administrative requirements during periods of staff leave (R&R rotations, sick and annual leave)
- Manage and ensure adequate coverage for Site Administration resources
- Conduct yearly CPD discussions with reports and monitor KPI achievements.
- Manage all P&C related requirements
Management Support
- Efficiently and effectively support the Regional Head I&C with all administrative and operational considerations.
- Provide end to end event management solutions for local and international events; manage all operational aspects of departmental workshops, conferences, planning days and training courses.
- Meeting management & minute taking; assisting with preparation of meeting materials, agendas, reports, presentations and managing logistical requirements for attendees including invitations and action tracking activities.
- Purchasing and expense management support for the Regional Head I&C and nominated delegates. Optional: approval of expense reports for direct reports.
- Arrange and coordinate all aspects of business travel including flights, accommodation, car hire and briefing information.
- Support onboarding activities for new recruits joining the department including visa, travel and housing requirements.
- Procure all IT required and render IT assistance - escalate technical issues via Vestas ticket system.
- Assist with preparation and proofreading of documentation, reports, correspondence, and communications on behalf of the Regional Head I&C.
- Serve as an effective liaison point between Regional Head I&C and Vestas staff ensuring issues are promptly prioritised and communicated appropriately.
- Diary management activities for the Regional Head I&C. Ensure all meetings and appointments are adequately coordinated.
- Asset management: tracking and controlling of business items procured for the Department via an asset register
Qualifications
- 5+ years' experience providing administrative support.
- 2+ years' experience providing administrative support in a construction environment.
- 2+ years' experience guiding, supporting and leading other Site Administrators across the portfolio.
- Experience providing administrative support to Senior and Regional Management level staff.
Competencies
- Ability to handle communications confidentially and discreetly.
- Provide action and solutions to tasks in an efficient, timely manner.
- Ability to prioritise issues delegating where appropriate.
- Working knowledge of various Vestas processes and systems.
- Demonstration and compliance with Vestas values.
