We have an exciting opportunity for a Tender & Proposals Administrator to join our team located in Applecross.
This role would suit a highly organised and proactive administrator or perhaps you have a Tender/Proposals background and looking for more flexible work hours? Part-time hours over 5 days would be considered for the right candidate.

The role
- Coordinate all administration deliverables related to proposals and tenders.
- Maintain all Tender portals used by SIMPEC for receiving and submitting tenders e.g. ICN, Estimate One, Ariba, Australian Tenders.
- Assistance with the screening of incoming tenders and selection of tenders and Expression of Interests that are aligned with SIMPEC’s capabilities and long-term strategic goals.
- Maintain templates, formatting bid material, upholding document control and building an accurate library of information to support the tender process.
- Maintain and update project document control and correspondence registers and filing systems, including issuing of project specific document numbers and maintain version control.
- Monitoring incoming tender information and distribution of updated information to relevant stakeholders.
- Collaborating with internal stakeholders and providing administrative updates on tenders.
- Allocation of tasks and follow up of stakeholders in a timely manner to ensure all documents are received on time as per assigned deadlines that allow for maximum preparation.
- Collation of information required for preparation of tender documents.
- Maintain data to ensure accurate and timely reporting.
- Create and issue a weekly/monthly dashboard summarising Tender and Proposals team activity and updates.
- Monitor and review processes to ensure adherence, governance, and auditability.
- Where required, provide project administration support to the Sustaining Capital Project team: including timekeeping duties in accordance with internal payroll deadlines, daily force reporting, raising supply requisitions and invoice receipting and maintenance of project registers including training matrix and general administrative support.
About You
- Experience in tender coordination or project administration within a similar industry
- Excellent communication skills both written and verbal
- Strong organisational skills and ability to balance multiple tasks with competing priorities
- Initiative to set and achieve work goals
- Proficient in the use of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
