The successful candidate will collaborate with the Operations and Finance teams to ensure the efficient execution of projects within set timelines, budgets, and scope. Task & Responsibilities
- Ensure system data integrity for projects and job data collection, facilitating accurate reporting and invoicing.
- Liaise with Operations and Finance team to ensure successful transfer of data for awarded work to enable action, completion, and invoicing.
- Help manage our subcontractor network to ensure their systems meet project needs, align capabilities with generated work, and ensure invoicing systems align with our finance team.
- Assist in managing customer communication to organize projects and jobs and respond to needs or requests.
- Assist with pricing recommendations of services and managing costs in project delivery.
- Participate in project meetings, assign tasks, and ensure contractors and team members meet deadlines and quality standards.
- Provide guidance and support to contractors and team members to achieve contract outcomes.
- Ensure the Work Generation and Operations teams properly set up contracted projects and jobs.
- Assist in reporting project and team KPIs.
- Provide reports to Work Generation and Operations teams to assist with understanding company and project P&L performance.
- Assist with improving company systems and applications to increase operational efficiency and manage project requirements effectively.
- Support invoicing and accounts receivable tasks to ensure timely invoice and payment workflow, minimizing risk of loss.
- Report exceptions for project budgets and "do and charge" work to the Work Generation and Operations teams for review.
- Assist with identifying and implementing improvement opportunities to optimize operational and finance tasks.
- Communicate with subcontractors, employees, and customers to provide feedback and assist with implementing improvements.
- Update and maintain customer and supplier information in the finance system to ensure accuracy.
Qualification & Experience
- Bachelor's degree in Business Administration, or a related field.
- Proven experience (two years minimum) in project administration, with expertise in project planning, cost management, and risk management.
- Strong organizational and leadership skills, with the ability to manage multiple projects effectively.
- Attention to detail and excellent communication skills for coordinating across teams and resolving issues.
- Knowledge of time management, scope management, and quality management techniques.
